AI Rewrite Lost Important Text? Compare Google Docs Versions Before Restoring
Recover the missing passage without assuming an older version is safe to replace the whole shared document. Compare both the lost wording and newer changes.
You replace a rough paragraph with an AI rewrite, then notice that an important condition has disappeared. Meanwhile, a colleague has updated another part of the same Google Doc. Restoring the whole document may not be the repair you actually need.
Start with two questions: which wording is missing, and which newer edits must stay? Treat the rewrite as a draft until both are resolved. This checklist uses Google Docs on a computer; it does not assume that every editor or AI tool keeps the same history.
Identify the missing passage and current revision
Open the exact shared document your team uses, not an exported PDF or a similarly named copy. Record its link and the approximate time of the rewrite. Note the section where the missing text belongs and why it matters to the next reader.
Be specific. “The rewrite changed the meaning” is harder to investigate than “the condition about confirming the delivery appointment is missing.” Do not ask AI to reconstruct the original from memory. Find a retained source that actually contains the wording.
Before editing, check who else is working on the document. Agree on one repair owner and a review point. Do not silently restore a shared file while a colleague is updating it. If you only have viewing access, ask the authorized owner to inspect the history; this is not a reason to request broader access to unrelated files.
Compare earlier versions with the live document
Google’s version-history guidance says browsing earlier versions requires edit permission. On a computer, the documented entry is the Last edit control at the top right. Use the history panel to inspect available earlier revisions and their changes.
Find a revision containing the missing passage, then compare it with the current text. Record the version timestamp or name and the exact relevant sentence. Google notes that revisions may sometimes be merged, so do not promise that every individual editing step will appear separately.
The revision’s author and time help locate evidence. They do not, by themselves, prove that an AI tool caused every change. A person may have pasted, deleted or edited text before or after the rewrite. Keep the observed difference separate from your explanation of its cause.
Copy evidence before choosing a repair
Google documents making a copy of an earlier version through its More → Make a copy option. Where your document owner permits it, use a clearly named comparison copy in an approved location. Review its sharing choices; do not assume a new copy should go to everyone who can see the original.
Use the copy to compare the lost passage without replacing the live document. Here is a fictional example, not a recovery we performed:
| Item | Earlier version | Current version | Repair question |
|---|---|---|---|
| Delivery condition | Appointment must be confirmed | Condition omitted | Should the original condition return? |
| Contact name | Previous coordinator | New coordinator | Keep the newer contact? |
| Scope paragraph | Earlier draft | Owner-approved update | Preserve the approved update? |
A whole-document rollback would need review of all three rows, not just the first. If only one passage needs repair, propose that scoped change to the owner. If the current document has wider damage, prepare a version comparison before deciding whether a full restore is appropriate.
Google also documents restoring an earlier version. Availability of that control is not approval to use it. Do not restore a shared document merely because the older passage looks right; the owner must decide what happens to newer work.
Check the repaired passage and newer edits
After an approved repair, reopen the actual shared document. Confirm that the missing condition is present in the intended section and that the contact and approved scope still match the agreed current version. Inspect the text itself, not just a saved notification or a reassuring summary.
Ask a bounded review question: “Does this passage preserve the condition without changing the newer contact or scope?” AI can prepare a comparison, but the reviewer still needs the source and current text. A confident answer without those inputs is not recovery evidence.
For future editing, establish a recognizable checkpoint before replacing substantial text. Google supports named versions; use a name meaningful to your team rather than calling an unreviewed draft “approved.” Keep the original source and the final review record available through your normal document-handling process.
If the needed revision is unavailable, say so. Use another authorized retained source, or leave the missing wording unresolved for the owner. Do not invent the old sentence or declare the file recovered after fixing only one sampled paragraph.
